  • A new data manager onboarded and trained in EveryAction

  • An automated membership system that moves members between tiers  based on engagement instead of hand-built lists

  • A clear plan for cleaner data requests, consistent event naming, and separated reporting across both legal entities

  • Recorded trainings and documentation the team can reuse for every future hire

The biggest win is independence. The team no longer calls us for the basics. They know the system, they have the documentation, and they're building on it themselves.

Most EveryAction problems aren't really software problems. They're training problems, process problems, and "only one person knows how this works" problems.

Want a team that actually uses EveryAction? Let's talk.

The Results

Every session came with practice homework so skills were used right away, and recordings let the team rewatch them and train future staff. Additional sessions throughout the year focused on whatever the team was working on.

Ongoing advising:

We helped redesign the membership model around EveryAction engagement points, recommended standard events types and naming conventions for consistent data across teams, and answered day-to-day questions as new projects came up.

A Year of EveryAction Training That Actually Stuck for a Civic Engagement Nonprofit

Client: Statewide civic engagement nonprofit

Services: EveryAction training, data strategy, onboarding support, and ongoing advising

Timeline: About a year of ongoing support, November 2024 through summer 2025

Starting point: A busy data team, a staff that rarely touched EveryAction, and most of the know-how living in one person's head

The Challenge

This organization runs big programs. In a single cycle, its teams send hundreds of thousands of texts, make tens of thousands of calls, knock on doors across the state, and register thousands of voters. All of it runs through EveryAction and VAN.

The tools were there. The habits weren't. Most staff rarely logged into EveryAction, so every list, report, and upload landed on the data team, often at the last minute. Information was scattered across team spreadsheets, and most system knowledge lived in one person’s head. With a new data manager starting, the organization needed a team that could run EveryAction with confidence on its own.

The Solution: EveryAction Training and Ongoing Support

We already knew the system: our earlier EveryAction cleanup for this team reorganized activist codes and tags, built templates and standard forms, and set data entry rules. This time the goal was bigger. Over the following year, we worked alongside the team in three areas:

Strategy and planning:

We led planning sessions to review the year and plan the next one, mapping where data got stuck: unclear roles, last-minute requests, scattered spreadsheets, and undocumented processes. Together we set priorities, including cleaner requests processes, data plans for new programs, and a way to keep the organization’s two legal entities’ data separate for compliance and funder reporting.

Onboarding and training:

We supported the new data manager through their first months, reviewing the onboarding plan and training materials and untangling system access issues. We then built and taught three-part EveryAction onboarding series:

  • Introduction and contact management

  • Segmentation, campaigns, and email

  • Templates, tools, and operations
